Automation first, AI after
AI support is an optional building block: read documents automatically and propose the matching line. It can be switched on and off per client. The base automation works regardless. Whoever works without AI only loses the reading of images and scans.
What automation means here, concretely
Many firms spend a large part of their time on recurring routine work: checking CSV lists, searching for incomplete postings, manually hunting missing details such as account, tax rate and duplicates, coordinating approvals and then transferring the same data into different systems. vorerfasst bundles exactly these steps.
Map the lists once
Journal, open items and bank statements arrive as CSV or Excel. You map the columns once. vorerfasst remembers it and applies it to every further list, even when it comes from another system.
Only the open cases stay
Instead of looking at every document, vorerfasst proposes only the incomplete or unusual positions: missing contra account, empty tax rate, possible duplicate. Complete entries are skipped. Pile processing becomes a worklist that you work through.
No field is invented
Missing details stay visible and are not filled automatically. The tax rate stays empty until someone adds it deliberately. Automation here means: find faster what is missing. Not: close gaps with guessed values.
Approval with server time, immutable
The roles are separate: accounting prepares, the financial accountant reviews, C-level approves. Every approval writes a new line with person and server time. If a document changes later, the old approval stays visible and no longer applies.
One journal, many target formats
The same journal lines go to DATEV, BMD, RZL, Lexware, Sage 50 or SAP Business One without manual adjustment. No second entry, no copy and paste between programs. The trial run happens in the target system, with the same approved lines.
What else runs on its own
Ageing sorts overdue items for reminders, SEPA proposals are created from overdue vendors, depreciation proposals stay adjustable, and the bank statement matches against the open items. That too is rule based and needs no AI.
Why that matters for firms in particular
Accounting firms and bookkeeping offices work under time pressure, with changing clients and often several target systems. Every manual transfer costs time, raises the risk of error and ties qualified staff to routine work. Add client separation, data in the EU and mandatory 2FA: automation must not replace control.
Conclusion
Saving time and staff hours at vorerfasst does not mean waiting for AI. It means automating the recurring steps of preparation, review and handover so that only the professional decisions remain. Whoever adds AI later increases the saving further. The base works before that.
